Employee opt out of receiving a paper W-2 form

Employees can opt out of paper copy W-2 tax form

Friday, December 13, 2019

WVU Medicine employees are reminded that they can opt out of receiving a paper W-2 form and, instead, receive an electronic copy.

A W-2 is the form that an employer must send to an employee and the Internal Revenue Service (IRS) at the end of the year; it reports an employee's annual wages and the amount of taxes withheld from his or her paycheck.

All employees have to do is complete a one-time electronic consent through UltiPro. Once completed, the consent will carry over from year to year.

How to consent:

  1. In the UltiPro portal, go to Myself > Pay > W-2
  2. Select "Change W-2 Consent Form"
  3. Make your selection; choose "I want an electronic copy only"
  4. Select "save"

In January 2020, WVU Medicine Payroll will notify you once your electronic Form W-2 information for tax year 2019 is available for you to view. You can print as many copies as you need to attach to your personal tax return.

As a reminder, please check your address on file in Ultimate to ensure it accurate for 2020.

If you have any questions, please contact the WVU Medicine Payroll team via HR1Source.
